RefWorks: Moving your document to another school

This guide was developed for Canadian university students by Scholars Portal, a service of the Ontario Council of University Libraries (OCUL).

Moving your document to another school

If you are in the middle of working on a document, but are moving to another school that has RefWorks, there are a few steps you need to follow in order to transfer your document over. Please follow the steps below.

If your account was migrated to the US server, please remember to uninstall Write-N-Cite and download the US version from your new account online.
  1. First, you need to transfer the actual contents of your RefWorks account over to your new school. If you have not already done this, please use the Backup & restore method to transfer your references to your new school. (If your account has been moved to the US server, this has already been done for you.)
    If you transferred your account using the Export & import feature instead, you will not be able to transfer your document. Please Contact us for support.
  2. Next, create a backup copy of the document you are working on, just in case.
  3. Open Microsoft Word, but do not open your document. Click on the RefWorks tab, and make sure you are logged in to your new school account.
  4. Now, open your document. If Write-N-Cite prompts you to switch accounts, select Review Only.Screenshot of dialogue box, select Review Only
  5. Next, you will need to open your document's Properties. This can be done as follows:
    • Word 2011 for Windows: Click on File > Info > Properties > Advanced Properties
    • Word 2007 for Windows: Click on Office button > Prepare > Properties, then click on Document Properties > Advanced Properties.
    • Word 2008 for Mac: Click on File > Properties.
  6. Then, click on the Custom tab.
  7. Select WnCUserId, and click Delete. Then select WnCSubscriberId, and click Delete again. Screenshot of Properties box, Custom tab, highlighting two values to delete
  8. Click OK to exit out of the Properties window.
  9. Save your document, and close it.
  10. Reopen your document. Write-N-Cite will now prompt you with some options. Select Convert, and wait for a few minutes as it converts your document to your new account.Screenshot of Write-N-Cite dialogue box, select the Convert option
  11. You will be warned that the conversion may take a while. Screenshot of dialogue box: Beginning conversion process. This could take a while.
